A retirement party marks the end of a career and the start of something new, and the best ones are full of the people the retiree worked with — including the ones who can't be there. Here's a timeline from about a month out to a year after the party, with the InviteBird features that help at each step. Treat the dates as general guidance.
4 to 6 weeks before
Settle the date, the place and — the big one for a retirement — the guest list. Think wider than the people who'll attend: former colleagues, clients and the people they mentored years ago.
- Open Retirement Essentials before you send, and The memory book, Career trivia and The one-year capsule start switched on; guests take part as they reply, so set them up before the first RSVP. See Retirement party games.
- Design and send your invitation in InviteBird — it's free to design, and you pay only at send, sized to the guests you expect.
- Set an RSVP-by date about a week before the party.
2 to 3 weeks before
- Send the retiree their private link for Career trivia — their first job, what was always on their desk, and a few either-or picks about the years ahead — so the answers are in by the party.
- Invite the people who can't come anyway. When they reply no, the memory book still asks them for a memory or a recording — often the best ones in the book.
- If you're serving a meal, collect dinner picks with Menus and plan Seating.
1 week before
- Send a reminder to anyone who hasn't replied — host-to-guest messaging is included.
- Want a door prize? Switch on the Prize drawing. To make it about the memories, choose earned entries: everyone who comes gets one, and leaving a memory or a recording adds more. See Earned entries.
- Check that The one-year capsule is scheduled — it shows the day it will open.
A few days before
- Set up the Event Day kiosk on a tablet or a laptop by the TV. If you'd like the memories on screen during the party, add the Wishes wall tile.
- Confirm speakers, the venue and anything else the day needs.
On the day
- Greet arrivals with the check-in kiosk, and gather pictures on the photo wall.
- From the Games list on Event Day: reveal Career trivia and draw the prize.
- Then raise a glass.
After the party
- Send the matching thank-you card the next morning.
- Download The memory book as a keepsake PDF and give it to the retiree.
- A year later, the capsule arrives in your inbox — pass it on, and let the retiree say how the year really went.
Common questions
Do colleagues need an app? No. Everything happens inside their RSVP, from the invitation link.
Can people record instead of writing? Yes. Every memory-book question has a record button, and it's on by default.
Will the retiree see the memory book before the party? Only if you share it — it lives in your account. You can read the answers as they come in.
