A guest wants to update their reply — switch from "yes" to "no," add a plus-one, fix a meal — but can't find how, or is told responses are closed. In almost every case it's one of a few expected situations rather than a broken page. Here's how to spot which, and what to tell your guest.
How changing an RSVP normally works
After a guest responds, their invitation shows a "Manage your RSVP" link (they'll also see it on the thank-you screen right after replying). That opens a tidy summary of their response with Change response and, if they're coming, Change party size buttons, plus a Change link beside each question they answered. Everything updates their existing reply — it never creates a duplicate.
The key thing: that manage link only recognizes them on the same device and browser they replied from, because their RSVP is tied to that browser for about 30 days. That's the root of most "I can't change it" reports.
Most likely causes
- They're on a different device or browser. Someone who replied on their phone, then opens the invitation on a laptop, isn't recognized and sees "Open the link from your invitation to make changes." This is the single most common cause.
- It's been a while since they replied. The link between a guest and their response fades after about 30 days on that browser, which lands them in the same "open the link from your invitation" state.
- The event was canceled. A canceled event shows "This event was canceled — your response is kept for the record, but changes are closed."
- The event has already happened. From the day after the event, responses close and guests see "This event has wrapped — responses are closed."
- The event is full. If you've set a guest limit and it's reached, a guest can't switch to "yes" or grow their party — they'll see the event is full. Declining always works and frees space.
- A one-time game is already played. Some fun modules (like trivia) lock once answered, so that particular answer can't be changed even when the rest still can.
How to help your guest
- Ask them to reopen the original invitation link on the same device they replied on. The Manage link appears there and lets them edit everything.
- If they've switched devices, have them sign in. If they RSVP'd using the same email as an InviteBird account, signing in on the new device links their response automatically so they can manage it. If they don't have an account, the reliable fix is to go back to the device they first replied on.
- Just declining? That always works. Changing to "can't make it" is never blocked, even on a full event, and it opens a seat for someone else.
- Switching to "yes" on a full event? They can't while the list is full — raise or lift your guest limit and the form reopens. See Max capacity and waitlist.
- Canceled or past events are closed by design. Their reply is safely kept for your records; there's nothing to fix.
A note on "reply by" dates
If you set a "reply by" date, know that it's a friendly nudge, not a lock — it shows on the invitation and gives you a target to aim your reminders at, but guests can still respond and change their answer after it passes. There isn't a "close RSVPs now" switch; the ways responses actually close are canceling the event, hitting your guest limit, or the event date passing.
If the issue continues
If a guest is on their original device, the event is live and not full, and they still can't change their reply, ask them to try refreshing or a different browser. If it still won't budge, email us at info@invitebird.com with your event and the guest and we'll take a look.
Common questions
My guest replied on their phone but wants to change it on their computer. Their response lives with the phone's browser. The simplest fix is to change it on the phone again. If they used their account email to RSVP, signing in on the computer will also link it.
Can a guest change their answer after the "reply by" date? Yes. That date is a nudge, not a cutoff — responses stay open until you cancel, the list fills, or the event passes.
A guest wants to add a plus-one but can't. If your event is at its limit, party size can't grow until you raise the cap. Otherwise they can adjust party size from Manage your RSVP → Change party size.
They say the "Manage your RSVP" link is missing. It only appears after they've responded, and only on the device they responded from. If it's genuinely absent on the right device, they may be on an older invitation style that edits from the invitation page itself — reopening the link and re-answering will update their reply.
Why can't they change their trivia answer? Some game modules are one-shot and lock once played. The rest of their RSVP can still be changed.
