When your event's date passes, InviteBird gently shifts it into keepsake mode — a calm, read-only version of your event built around the memories rather than the planning. You don't need to do anything to trigger it; it happens on its own. Setup gets locked so nothing changes after the fact, while the parts that matter afterward — your photo album, the recap, and thank-you tools — stay open.

When keepsake mode begins

Keepsake mode starts automatically once the event date has passed. (A canceled event also becomes read-only.) There's no button to press and no way to turn it off — a past event is, by nature, done.

What locks

Once an event has wrapped, its setup is fixed. You can no longer:

  • Add, import, or invite more guests
  • Send invitations or reminders
  • Change the guest limit or capacity
  • Turn event features on or off
  • Edit the design or the event details

If you open the editor on a past event, you'll see a note that "This event has already taken place and can no longer be edited." That's expected — it's protecting the record of what actually happened.

What stays open

The keepsake side of your event stays fully live:

  • Your photo album, so photos can keep flowing in
  • The recap of the night
  • The thank-you — your note, sent now or on a day you pick
  • Keepsake PDFs of your guests' notes and answers
  • Your messages with guests
  • Your data export and receipts

Sending the thank-you

The Post-event section holds one thank-you: your event's matching thank-you card with your own note underneath. Write the note yourself, or let InviteBird AI draft it — it only mentions photos or a playlist when your thank-you page really shows them. Until you save a note, guests see a short default one.

From the day after the event, choose Send now and pick who gets it: everyone who came (they replied yes or checked in at the door), or the guests you choose — someone who couldn't come can get one too. Or schedule it ahead of time for a number of days after the event: it goes out on that day (at 10 a.m. in your event's time zone, when you've set one in Settings), and if you move the event, the send moves with it.

Each guest gets an email with your note and a button to your thank-you page, and the same note in their InviteBird messages. Nobody gets it twice: sending again only reaches the guests who haven't been thanked yet. Co-hosts can write, send and schedule the thank-you too.

The gratitude roster

On the post-event tab, a gratitude roster lines up everyone on your guest list against two simple truths: did they come (checked in at the door, or replied yes), and have they been thanked (the thank-you email reached them, or it landed in their InviteBird messages). A quiet line ("12 thanked · 3 who came still to thank") tracks your progress.

A few honest notes on what it can and can't see: gifts go straight to you through your own payment apps or registries, so InviteBird can't see who gave — a gift handed over in person or sent by a payment app isn't visible to it. And a guest who replied through your shared link without an email can't be reached, which the roster says plainly.

What your guests see

  • On the event day itself, guests can still RSVP and join in — the door stays open during the party and late into the night. From the day after onward, responses close, and anyone trying to reply sees "This event has wrapped — responses are closed."
  • The photo album stays open — guests can keep adding the moments they caught, even after the day.
  • Your thank-you page opens the day after the event: your thank-you card, your note, and a recap of the night (poll results, the trivia champions, the playlist, the guessing-game scoreboard, who knew the guest of honor best, the jar's winner, how the room split in This or that, who called bingo and any drawing winners, each only when it has something to show), with the album's photos. The thank-you email links straight to it, and it's there for every guest you invited. Before the event, a guest who opens the link sees when it opens; you can preview it any time with See the guest page.

Keepsakes you can save

  • Guest-note booklets (free). Turn your guests' written moments into a printable PDF — for example everyone's advice, birthday wishes, or bucket-list ideas. Each is its own keepsake booklet, at no cost.
  • The keepsake bundle ($34.99). For the full memento, the keepsake bundle rolls three things together: a complete guest book as one PDF (every reply and note), the larger 500-photo album pack, and a full extra year of album hosting. It's an add-on you can buy from the event.

How long your album is hosted

When you send an event, InviteBird hosts its photo album for about a year. The keepsake bundle extends that by another year, so your memories stay reachable longer. If you want to be sure an album stays up well beyond the event, the bundle (or an album renewal) is the way to keep it live.

Common questions

Why can't I edit my event anymore? It has passed, so it's in keepsake mode and the setup is locked to preserve an accurate record. The album, recap, and thank-you tools are still available.

Can guests still upload photos after the party? Yes — the photo album stays open after the event, so guests can keep adding pictures even though RSVPs have closed.

How do my guests get to the recap and thank-you page? The thank-you email has a button straight to it, and so does the copy in their InviteBird messages. You can also share the link yourself — it's the See the guest page button in the Post-event section.

Do I have to buy the keepsake bundle to keep my album? No. Your album is hosted for about a year at no extra cost. The bundle simply extends hosting by another year and adds the complete guest book and larger photo pack. See Payments, receipts, and refunds.

My event passed but I need to change a detail — what can I do? Editing is locked after an event, so reach out at support@invitebird.com if something important needs correcting on the record.

Can I reopen RSVPs after the event? No — responses close the day after the event. If the event is genuinely still ahead and the date is wrong, that points to an incorrect event date; contact us and we can help before it wraps.
