Planning with someone else? You can have up to 5 co-hosts on any event, on every plan, at no extra cost. A co-host signs in with their own free InviteBird account and runs the event with you: the guest list, messages, planning tools and the day-of. You stay the owner, so a few actions remain yours alone (see What co-hosts can and can't do).
Where your team lives
Open your event, then the Co-hosts list: on Home it's in The host toolbox, and it's in the menu too. It lists everyone who runs the event, starting with you as the owner, and each person's status:
- Co-host — they accepted and can run the event with you.
- Invited — the invite is waiting, and the line under it says until when the link works.
- Expired — the link ran out before they answered.
The same team shows as a small strip on the Guests tab, and Settings → People counts it.
Inviting a co-host
- In the Co-hosts list, enter their email address — or open Address book and pick a saved contact.
- Choose Send invite. InviteBird emails them right away and adds them to your guest list at the same time, so a co-host is also one of your guests.
You can also make someone on your guest list a co-host: on the Guests tab, open their row and choose Make co-host, then Send invite to confirm. The invite goes to the email on their guest entry, so a guest with only a phone number can't be made a co-host.
Building your guest list in the editor? Tap the crown beside a guest with an email address, and their co-host invite goes out when you first send your invitation.
What your co-host receives
Your co-host gets an email with the subject "[Host name] invited you to co-host [your event]" and a See the invite button. If they already have an InviteBird account, a notification appears in their account too.
The button opens a page that names your event, its date and place, and who invited them. From there they:
- Accept — they sign in, or create a free account, with the address you invited (the page shows it partly hidden, like s•••@example.com). That address is how InviteBird links them to your event. Once they accept, your event opens for them and you get a notification.
- Decline — "Can't help? Decline" asks once more, then lets you know.
If they're signed in with a different account, the page says so and offers Switch account. An account must have a confirmed email address before it can accept.
How long the link works. An invite works for 14 days, or until your event ends if that comes sooner. Once your event has wrapped or been canceled, a waiting invite can't be accepted.
Sending an invite again
If an invite is Invited or Expired, choose Send again on its row. Your co-host gets a fresh email, and the link they already have starts working again for another 14 days (or until the event ends).
To stop people being emailed over and over, you can send the same invite 3 times an hour at most.
Removing a co-host or canceling an invite
Only you, the owner, manage the team:
- Remove an accepted co-host. Their access to the event ends right away, and they get an email and a notification saying so.
- Cancel an invite that's waiting or has expired. The link in their email stops working.
Either way they stay on your guest list, so their invitation and reply are unchanged.
Uninviting a co-host from the Guests tab takes them off the guest list and ends their co-host access, and they're told. If you only want to end their co-host access, use Remove in the Co-hosts list instead.
Leaving as a co-host
Helping on someone else's event and need to step down? Open the event's Co-hosts list and choose Leave on your own row, then Leave event to confirm. Your access ends, the owner gets a notification, and you stay on the guest list.
Limits and cost
- Up to 5 co-hosts per event, on every plan.
- Free — co-hosts never cost anything and never need an upgrade.
- The 5 counts accepted co-hosts and invites still waiting. Expired invites don't count, so they never block a new one.
- Once your event has wrapped or been canceled, new invites close. You can still remove a co-host or cancel an invite.
Common questions
Does a co-host need to pay or have a paid plan? No. Co-hosting is free, and your co-host doesn't need a paid plan of their own — they're helping run your event.
My co-host says the link doesn't work. Check the row in your Co-hosts list. If it says Expired, choose Send again. If it's still Invited, ask them to sign in with the exact address you invited.
Can a co-host see my other events? No. A co-host only sees the specific event you invited them to. Their own dashboard lists it under "Events you help run," separate from anything they host themselves.
Can I add a co-host after I've already sent invitations? Yes, any time until the event wraps.
What exactly can a co-host do once they accept? Co-hosts can do everything you can, except cancel or delete the event, change co-hosts, pay for upgrades or clear a whole list at once. See What co-hosts can and can't do for the full breakdown.
