To print a photo upload QR sign for your InviteBird event, open Photos → Guest uploads to review → Share with guests and choose Download QR. Copy link gives you the same upload address to share directly. Guests scan the sign to add photos in their browser; every upload waits for your approval.
The photo album overview explains the shared album and review workflow. For what happens after a guest scans, see Guest photo uploads.
Where to find it
There are two places, both producing the same result:
- The Photos section. Inside Guest uploads to review, the Share with guests card shows the QR code on screen with two buttons: Copy link and Download QR (a printable PDF).
- The Printables hub. Your event's printables collection has a Gallery section with the Photo-album QR PDF — badge: Scan to upload — alongside a Download all photos ZIP for after the party. If you're printing table pieces anyway (like the seating pieces in Printable seating charts and place cards), grab this one in the same batch.
The printable PDF is styled with your event's name and invitation artwork, so it sits on a table looking like part of the decor rather than an office notice.
Using it well
- Print several. One per table, one by the guest book, one at the bar. The more surfaces, the more photos.
- Drop the link in the group chat the morning after — Copy link gives you the exact address, and late photos are welcome because uploads stay open after the event.
- Test it yourself first. Scan the sign with your own phone; you should land on "Add your photos from [your event]." Whatever a guest uploads goes through the same approval queue, so a test upload is harmless.
- Pair it with the day-of surfaces. If you're running the check-in kiosk or photo wall, guests will also find their way to uploading from there — the QR sign is the zero-setup path that works for everyone else.
What guests experience
Scanning opens the upload page in their phone browser: pick up to 30 photos at a time, add their name and an optional note, send. Phones shrink big photos automatically, each photo shows whether it was sent, and any that fail can be retried with one tap. Everything lands in your review queue — nothing goes public until you approve it. The full guest flow, formats, and limits are covered in Guest photo uploads.
If you've set uploads to Invited guests only, the scan instead asks guests to sign in with the email they were invited with before uploading — worth knowing before you print, since the open setting is what makes the sign effortless for older relatives. See Photo privacy.
When the QR sign is available
The QR downloads live behind your host sign-in, and the Gallery printables appear once the photo album is on. If the Printables hub shows the Gallery section locked, turn the album on first in the Photos section — see Your shared photo album.
The sign works while uploads are open. If your invitations haven't been sent yet, guest uploads are off, or the album's hosting has ended, the page a guest lands on says so (Not open yet, Uploads are off, or This album is offline) rather than letting them try.
Common questions
Does the QR code expire or change? No. It encodes your event's upload link, which stays the same for the life of the event — print it as early as you like.
Do guests need the InviteBird app to scan it? No. Any phone camera opens it in the browser; there's nothing to install and, with the default settings, no account to create.
Can I put the QR code on my own signage? Yes — use Copy link and generate a code in any design tool, or print our ready-made PDF. It's the same link either way.
What if someone outside the party gets the link? Anything uploaded still waits for your approval, an automated safety check screens images, and you can switch uploads to Invited guests only at any time. See Photo privacy.
Is there a QR sign for viewing the album, too? The printable sign is for adding photos. For viewing, share the album link itself — it's on your event page and thank-you page, and Preview album page in the Photos section shows you the exact address.
