Messaging on InviteBird is a two-way street. Every guest has a private line to you, so questions about the dress code, a headcount change, or a "can't wait!" all come straight to your event's Messages tab — and your reply goes right back to them.
Every guest gets a private thread
When you send an invitation or a message, each guest gets their own private one-to-one conversation with you and any co-hosts. It is not a group chat: guests can't see each other, and one guest's note is never visible to another. You manage all of these threads from the Messages tab, where they're listed like an inbox with unread counts.
How guests reply
A guest doesn't need an InviteBird account or the app to talk to you. If you've password-protected the invitation, they still need to unlock it.
- From an email, the guest taps Read & reply, which opens a Talk to [your name] panel right on the event page. Their personal message link can open the conversation before they RSVP.
- From a text, the guest taps their personal message link, which opens the same panel on the web without requiring an RSVP first.
- On the event page, InviteBird can recognize a guest who has already opened their personal message link in that browser. A signed-in guest can also open the thread when their verified email identifies one guest on your list; an account is optional.
The panel shows the running conversation as simple chat bubbles, with a box to type a reply (up to 2,000 characters). Guests can even start the conversation themselves — the panel invites them to "say hello" when it's empty.
Someone who only opens your shared link may need to RSVP first or open their personal link before InviteBird can identify them. An RSVP alone does not unlock an invited guest's existing private thread. If the panel asks for a personal link, the guest can request one using the email you have on the guest list; phone-only guests should ask you for a fresh link. This keeps each conversation private. For how responding works, see How RSVPs work.
Where replies land — and how you're notified
When a guest replies:
- The message appears in that guest's thread on your Messages tab.
- You and every co-host get an email titled [Guest] sent you a message about [your event], with the note quoted and a Read & reply button.
- You also get an in-app notification (the bell), so it surfaces even if you miss the email.
When you reply, the guest is notified the same way they were reached before — an email with your message, or, for a phone-only guest, a short text with a link back to the full thread. Either way your words show up in their panel.
Conversations refresh when the guest returns to the page or brings the tab back into focus, so replies appear promptly without anyone needing to refresh by hand.
Phone-only guests
If a guest has a phone number but no email, InviteBird reaches them by text — but only for United States and Canada numbers, and only after they've opted in by replying YES to the one-time confirmation. The text carries a short notice and a link to read and reply on the web, where the full conversation lives. A guest outside the US and Canada who has only a phone number can't be reached by message; add an email address for them instead. See SMS consent and compliance for details.
Common questions
Do guests need an account to reply to me? No. A guest's personal email or text message link opens their conversation without an account or an RSVP first. InviteBird can recognize them on later visits in the same browser. Shared-link visitors may need to RSVP or open a personal link before they can message you.
Can guests see each other's messages? No. Every conversation is a private thread between the guest and the hosts. Guests never see who else you messaged or what anyone else wrote.
Where do guest replies show up? On the Messages tab of your event, in that guest's thread. You'll also get an email and an in-app notification for each new reply.
A guest says they can't see the message panel — why? Have them open their personal Read & reply link from your email or text. They can use it before they RSVP. A shared link or an RSVP alone may not identify them for a private thread. If their personal link has expired or the panel asks for one, they can request a new link using the email you have on the guest list; phone-only guests should ask you for a fresh link.
Can I message just one guest privately? Yes. Open their thread from the Messages tab and write, or use New message and select only that guest. See Messaging your guests.
What if my guest only has a phone number? They'll get your message by text (US and Canada only) once they've opted in with a YES. The text carries a link to the full conversation on the web, and that's where they reply — replies sent as a return text aren't added to the thread.
