Every message tied to your event — what you sent, what guests replied, and a few automatic notes — lives in one place: the Messages window. Its Inbox holds your conversations, and Sent & reminders shows everything that's gone out.

Sent & reminders

In Messages, Sent & reminders keeps one honest, chronological record of every message your event sends to guests. It gathers, in a single view:

  • The invitation — including a scheduled send you've set up ("Sends Fri · 6:00 PM"), so you can see it's armed before it goes.
  • RSVP confirmations — the automatic note each guest gets when they reply.
  • Reminders — including ones aimed at a specific tag.
  • Broadcasts — the updates you send from New message.
  • Thank-you notes and any cancellation notice.

Each row tells you what it was, who it reached, on which channel (email or text), when it sent or is scheduled, and its status — scheduled, queued, sent, partial, or failed. Where a status is known per message, you'll see it ("Sent to 14 · 2 opened"); where only the total was recorded, it says what it can ("Sent to 14"). Nothing is invented — the timeline shows only what actually happened. When a send didn't reach everyone, See who didn't get it lists each guest and the reason (the address doesn't exist, they unsubscribed, the text wasn't delivered…), with a link to the Guests tab to fix an address. Use Show more to expand the full history. RSVP reminders themselves are set up in your event's Settings under Reminders; the ones still to come show here under Scheduled next.

The layout

Open your event and go to Messages, then Inbox. Three counts sit at the top — conversations, unread, and how many are waiting on a guest's reply. Below them, the desk is split in two:

  • On the left, an inbox column listing your conversations, each with the guest's name, a preview, and an unread marker.
  • On the right, a reading pane that shows the selected conversation in full, with a box to reply.

On a phone the two swap places — you tap a conversation to open it, and step back to return to the list.

Filtering what you see

Filter pills above the list let you narrow things down:

  • Inbox — every conversation a guest has written in, whether it's still unread or you've already answered. Replying no longer drops a thread out of your inbox; it simply becomes read.
  • Sent — conversations where your message was the latest activity.
  • System — your conversation with InviteBird support: what you wrote from Support, and our replies.

Each pill shows a count, and unread conversations are flagged so replies never get lost.

Conversations are per guest

Messaging is organized as a private thread for each guest, not one big group chat. When you message several guests at once, each one gets their own thread, and each reply comes back to that guest's thread. That means the history with any single guest — everything you sent them and everything they said — reads as one clean conversation. Guests only ever see their own thread with you. For how the two-way flow works, see Guest replies and conversations.

Reviewing and continuing a conversation

Click any conversation to open it in the reading pane. Opening it marks it read and shows the full back-and-forth in order. You can reply right there, and your note is delivered to the guest on their channel — email, or a text with a link for phone-only guests. To start something new, choose New message in the Messages menu; see Messaging your guests.

Reaching InviteBird support

The Messages tab also has a Message support option. That's a direct line to the InviteBird team for help with your event — separate from your guest conversations, so a support question never mixes into a guest's thread.

Keeping it tidy

Because history is grouped by guest, you rarely need to hunt: filter to Inbox to see what needs a reply, Sent to confirm what went out, and open any name to read the whole exchange. Pairing this with your RSVP tracking gives you a complete view of who's coming and what they've asked.

Common questions

How do I see everything that's been sent — and what's scheduled or failed? The Communications timeline at the top of the Messages tab lists every send for your event — invitation, RSVP confirmations, reminders, broadcasts, thank-yous and cancellation notices — each with its real status (scheduled, sent, or failed) and how many it reached. Anything that failed is flagged so you can follow up.

Where can I see messages I sent earlier? On the Messages tab. Use the Sent filter, or open a guest's name to read your full history with them.

Do replies from different guests get mixed together? No. Each guest has a separate private thread, so every conversation stays self-contained and easy to follow.

What are the "system" messages? They're automatic notes about your event — for example, the marker created when a conversation is first started for the event. They're grouped under the System filter so they don't clutter your real conversations.

How do I know which conversations need a reply? Unread conversations are flagged and gathered under the Inbox filter, with a running unread count at the top of the tab.

Is "Message support" the same as messaging my guests? No. Message support reaches the InviteBird team about your event. Messaging guests happens through New message and the per-guest threads.
