When your guest list outgrows your plan, you don't buy a whole new one — you move up a size and pay only the difference between what you already paid and the larger plan. Your invitations and RSVPs stay exactly as they are, and nothing is re-charged for the seats you already had.
When you'd upgrade
Every plan includes a free 10-guest cushion above its size. If your list climbs past your plan plus that cushion, the guest list pauses so no one slips in over the line. InviteBird emails you as your list gets close, so this is rarely a surprise, and upgrading reopens the list right away. You can also move up early, before the list is full, whenever you know a bigger crowd is coming.
Where you can upgrade
There are several places an upgrade can happen — they all charge the same "pay only the difference" price and land you on the same larger plan.
From the plan step (in the editor)
Open your event and go to the plan step. Once an event is paid, the step switches to upgrade mode — the eyebrow reads "upgrades only pay the difference." Your current plan and every smaller one are marked as done, and each larger plan shows a button like Upgrade to Soar — +$40.00 difference. Selecting it opens secure checkout, and the bigger guest limit applies the moment the payment lands.
From the Guests tab (Room to grow)
On a paid event, the Guests tab carries a standing Room to grow card. It shows exactly where you stand — for example, "You're on Flight — 82 of 100 seats filled (+10 cushion on us)" — and lists each larger plan with its difference price. You can move up at any time, and you can enter a gift card or coupon code right there before you pay.
From the guest meter
As your list fills, a quiet meter appears on the Guests tab:
- Around three-quarters full, it simply notes how many seats are spoken for, with an Add room link.
- Once you pass your plan's size and start using the cushion, it turns amber — "You've outgrown Flight" — and invites you to unlock more seats before the list pauses.
- If you reach your plan plus the full cushion, it turns red — "The guest list is paused" — with a one-tap upgrade button showing the difference.
A slim banner can also offer to turn on auto-upgrade so this never happens (see below).
When you try to add a guest over the limit
If you add a guest that would push a sent event past its ceiling, a short dialog appears — "You've reached your plan" — and offers to move you up to the next size for just the difference so you can keep inviting. If you're already on the largest plan, it points you to us to help host a bigger crowd instead.
Never pause your RSVPs (auto-upgrade)
If you'd rather never think about limits, turn on Never pause your RSVPs — the recommended option. You'll find the switch on the plan step, inside the Room to grow card on the Guests tab, and in the auto-upgrade banner on the Guests tab. With it on:
- If your guest list outgrows your plan, InviteBird moves you up one size automatically — never more than the next plan up.
- You only ever pay the difference, and a receipt is emailed each time it happens.
- Your RSVPs never pause, so no reply is ever turned away while you're not looking.
- You can turn it off any time from the Guests tab, and we keep your saved card on file so switching it back on later is friction-free.
The first time you switch it on, you may be sent through secure checkout once to save a card, so future one-size upgrades can go through on their own. If a later automatic charge is ever declined, we email you right away and the list pauses until you sort it out — nothing is ever charged that you didn't consent to.
Common questions
How much does an upgrade cost? Only the difference between your current plan and the larger one. If you paid $49.99 for Flight and move up to Soar at $89.99, the upgrade is $40.00 — you're never charged twice for seats you already have.
Will upgrading re-send my invitations or reset RSVPs? No. Upgrading only raises your guest limit. Everything you've sent and every reply you've collected stays exactly as it is.
My guest list is paused — how do I reopen it? Move up one size. The moment the upgrade payment lands, the list reopens and new replies flow again. Turning on auto-upgrade prevents the pause from happening at all.
Can I use a gift card or coupon on an upgrade? Yes. The Room to grow card and checkout both accept a gift card, coupon, or referral code. See Gift cards and codes.
Does auto-upgrade ever skip several sizes at once? No. It steps up exactly one plan at a time. If a much bigger crowd arrives, it moves up again at the next limit — always one size, always just the difference.
What happens if my auto-upgrade card is declined? We email you immediately and the guest list pauses until the upgrade goes through. No reply is lost — they simply wait until you fix the payment.
