When your design and guest list are ready, the Plan and Send steps handle pricing and delivery.

Before you begin

Add at least one guest — you can't send to an empty list. Your Event title, Date, and Time should be filled in.

Steps

  1. Choose your plan on the Plan step. Set how many guests you expect at the door, plus-ones included. InviteBird highlights the plan that covers your list, and you can pick a larger one. Nothing is charged here.
  2. Turn on Never pause your RSVPs (optional). If your list later outgrows your plan, InviteBird moves you up one size automatically and charges only the difference. You can turn it off any time.
  3. Review your details. The Review step checks that your date, time, location, and guest list are set, and flags anything missing.
  4. Pay and choose when. On the final send step, agree to the terms, then choose Send now or Schedule for… and tap the button — it shows your total. You're charged once, at checkout, either way. With Send now your invitations go out immediately; with a schedule they go out at the time you pick.

Send now or schedule for later

The send step asks When should it go out?

  • Send now delivers your invitations the moment your payment goes through.
  • Schedule for… lets you pick a future date and time. You still pay now, at checkout — we simply hold delivery until the time you chose. Only the sending is deferred; nothing else waits.

A few details worth knowing:

  • Your time zone. You pick the time in your own time zone, and that's how it reads back to you (for example, Sends Fri, Jul 25 · 6:00 PM). Guests elsewhere still receive it at that same moment.
  • How far ahead. A scheduled send has to be at least about 10 minutes out, and no later than your event's start time. A schedule just 10–15 minutes ahead makes a handy "undo" — a short window to change your mind before it goes.
  • Before it sends, your event shows a Sends … banner on your Host Desk and on the Guests tab, with two buttons: Send now delivers immediately, and Cancel schedule puts the event back to a draft.
  • Rescheduling is just cancel-the-schedule and pick a new time — reopen the send step, or use the banner on your Host Desk.

Payment and scheduling

You're charged once, at checkout, whether you send now or schedule — the payment covers the event either way. Scheduling never charges a second time. Canceling a schedule doesn't refund anything, because nothing was sent yet: your payment stays on the event, and you're free to send it now or reschedule whenever you like.

If you cancel the event

If you cancel the event before a scheduled send fires, the schedule is voided — the invitation won't go out. Canceling an event stops all of its pending messages, scheduled sends included.

What your guests will see

  • Guests with an email get a nicely formatted email invitation with your event details and a link to reply.
  • Guests with only a phone number get a text with the link — US and Canada numbers, after a one-time reply-YES opt-in.
  • Everyone can open the invitation and RSVP without an account.

Limits and important details

  • You design for free and pay only at this step.
  • Your price is based on the guests you expect; every plan adds a free 10-guest cushion. Prices: Nest $9.99 (25), Hatch $24.99 (50), Flight $49.99 (100), Soar $89.99 (250), Open Sky $149.99 (750), Horizon $349.99 (unlimited).
  • A per-event plan is a one-time payment — there's nothing to cancel.
  • You can keep adding guests after sending. If you pass your plan's size and cushion, a one-step upgrade reopens the list for just the difference — never a second plan.
