The When & where card on the Details step holds the logistics guests need: the date and time, an optional reply-by deadline, the venue, and how to get there. Only the date and time are required.

Date and time (required)

  • Date. Pick the day of your event. It must be in the future — today is fine, but earlier dates are blocked, and you'll be nudged to choose a future date if you try one.
  • Time. When things start. On guided (AI) designs you can type the time in plain words ("1 PM to 5 PM") or tap a quick preset; on classic designs you pick it from a time field.

Both are required before you can continue, because guests can't plan around a missing date or time.

Ask guests to reply by (optional)

This is your RSVP deadline — the date shown to guests as "please reply by." It's optional, but it nudges guests to respond and helps you plan headcounts.

Two things keep it sensible:

  • It can't be set after the event date.
  • If you later move the event to an earlier date that would fall before your deadline, we clear the deadline so the two never conflict.

On guided designs, quick chips offer common deadlines like "2 weeks before" or "1 week before," calculated from your event date.

Location (optional)

Enter a venue name or address. As you type, suggestions help you land on a real place, and we tidy the formatting so the card never shows a half-typed address. Leave it blank and no venue line appears — though the Review step will gently flag a missing venue, since guests usually need one.

Parking & getting there (optional)

A short tip on how guests arrive — "Free street parking," "Valet after 6pm," "Enter through the garden gate." It's optional and appears with your other details when filled.

Confirming prefilled fields

If InviteBird prefilled your reply-by date, location, or parking note from the card, each shows a "Looks right?" chip. Confirm each one (or edit it yourself) before the step will let you continue — it's a quick check that our first pass was right. See The details step for how the whole step validates.

What guests see

Guests see the date, time, venue, and parking note with the rest of your event details, and the reply-by date as their RSVP deadline. Anything left blank simply doesn't appear. Check it all on the Review step's live preview before sending.

Common questions

Can I set the event for today? Yes. Today works; only past dates are blocked.

Do I have to add a venue? No, it's optional — but Review will flag a missing venue because guests usually need to know where to go. You can add or change it any time, including after sending.

Why did my reply-by date disappear? If you moved the event to an earlier date that fell before your reply-by deadline, we cleared the deadline so it couldn't land after the event. Just set a new one.

Can guests get directions? The venue you enter is what guests see; add specifics in the parking note. For a map or richer location info, use your event's tools from the host desk.

I changed the date after sending — will guests know? Not automatically. Update the details, then message your guests from the Messages tab so everyone hears about the change. See Editing after you've sent.
